POSITION DESCRIPTION
The Middle School is seeking an energetic, detail-oriented person to serve as the Middle School Administrative Assistant. The position may be the first person that community members interact with at Walker; therefore, it is imperative that they set the tone for the welcoming, caring environment that we have in the Middle School. Their primary role is to provide administrative support to the Middle School administration, teachers, and students.
QUALIFYING CHARACTERISTICS
The ideal candidate will demonstrate enthusiasm, reliability, resourcefulness, and empathy when working with both staff and students while embodying the school’s mission and philosophy. They will gracefully handle the pressures of work that must be completed within a limited time frame amidst the interruptions of a typical school day and will possess a love of middle schoolers and a sense of humor. The Administrative Assistant focuses on maintaining meaningful connections and community life while welcoming and greeting all visitors.
ESSENTIAL JOB DUTIES
Knowledge and understanding of Middle School activities and established school policies
Handle confidential information, which requires discretion and diplomacy
Maintain detailed and orderly records including student enrollment, student attendance, new family information, faculty/staff absences
Manage check in and check out procedure for students, to include tracking documentation, accurate record keeping, and follow up as necessary.
Manage calendars and events for the Middle School, assist with event organization, and work with the all-school calendar committee to maintain alignment across divisions.
Coordinate logistics and assist in planning major Middle School events like parent-teacher conferences, Honors Day program, Middle School, Parents Night, and new student orientation, which may require evening or weekend hours.
Serve as a general resource for students, parents, faculty, and visitors seeking information about the Middle School, to include answering phone calls, emails and voicemails, in a timely, supportive, and efficient manner.
Assist the HR Department in coordinating and supporting substitute teachers and coverage for classes when needed.
Work in close partnership with other divisions and departments (Facilities, Dining Services, and Athletics) as needed.
Other clerical duties such as reviewing and editing correspondence, photocopying, and assembling packets for events, ordering supplies for Middle School faculty and administrative use, etc.
CORE QUALIFICATIONS
Bachelor’s Degree preferred
Excellent verbal, listening, and written communication skills
Proficient in Google Workspace (e.g. Docs, Sheets, Gmail, Drive, Calendar) and Microsoft Office (e.g. Word, Excel) as well as interest and ability to learn new technology platforms and systems.
Demonstrated ability to problem solve and work in collaborative partnerships across all constituent groups.
